Volunteers
It takes many people working together to successfully run a youth sports team — and swim team is no exception! Aside from our coaches, the Heatherwood Hurricane Swim Team is entirely volunteer-run. Without parents and family members filling key positions at each swim meet, it would be impossible to operate our meets smoothly and efficiently.
Volunteer Deposit
At registration, a $400 volunteer deposit is required.
A $400 volunteer conditional fee will be authorized on the credit card used during registration. This amount will not be charged unless volunteer requirements are not fulfilled.
If volunteer requirements are not met by the end of the season, you will be notified and the credit card on file will be charged.
Volunteer Requirements
Each family is expected to volunteer for:
- One shift per meet in which your swimmer(s) participate
- Time Trials
- One shift at Divisionals (if your swimmer(s) qualify and are entered)
This will consist of a minimum of six (6) volunteer credits for the season.
Please note: Only one volunteer shift per family per meet may count toward your requirement. Multiple family members may not sign up to fulfill additional required shifts for the same meet.
Families who complete their assigned volunteer shifts will have satisfied their volunteer requirement.
Families who do not fulfill their volunteer obligations will have their card charged at the end of the season.
If you know in advance that you may be unable to fulfill your required shifts, please contact the Volunteer Coordinator to discuss available options.
Even after minimum requirements are met, additional volunteers may still be needed to ensure meets run smoothly. We ask all families to be ready and willing to step in as needed.
No Show Policy
If you sign up for a volunteer shift and do not report for your assigned position without arranging a replacement, a $50 no-show fee will be charged to the credit card on file.
Volunteer Positions
Volunteer needs vary between home and away meets. Positions are filled on a first-come, first-served basis, and hours are tracked by the Volunteer Coordinator.

- Timers / Scribes / Head Timer
- Ready Bench
- Runner
- Ribbons
- Computer
- Concessions (Home Meets)
- Announcer (Home Meets)

How to Sign Up for Volunteer Shifts
- Log into Swimtopia (App or Desktop).
- Navigate to the Meets tab or view Upcoming Events.
- Select the meet or event you would like to volunteer for.
- Click the green “JOB SIGNUP” button.
- Review available positions, including shift times and openings.
- Select or deselect the checkbox next to your desired position.
- Click “Save Assignments” to confirm your selection.
